Our client offering oilfield services, engineering and offshore logistics solutions to the upstream sector for the oil and gas industry are recruiting for an Executive Assistant to the MD/CEO.
The Executive Assistant to the MD/CEO serves as a trusted partner and critical support to the
Managing Director/Chief Executive Officer for our client. This role is responsible for providing high-level administrative, operational, and strategic support to ensure the CEO’s effectiveness and efficiency. The Executive Assistant acts as a liaison between the CEO and internal/external stakeholders, manages information flow, coordinates schedules, oversees special projects, and ensures that the CEO’s priorities are implemented in a timely and organized manner.
Responsibilities:
Executive Support:
• Manage the MD/CEO’s complex calendar, including meetings, travel arrangements, and
appointments, ensuring alignment with priorities.
• Act as a gatekeeper by screening and managing communications, including emails, calls,
and correspondence.
• Prepare briefing materials, agendas, and presentations for meetings, conferences, and
engagements.
• Attend meetings as required, taking minutes and ensuring follow-up on action items.
• Handle confidential information with utmost discretion and professionalism.
Operational and Strategic Support:
• Assist in managing special projects, tracking progress, and ensuring timely completion.
• Support the MD/CEO in preparing reports, business cases, and proposals.
• Monitor and follow up on delegated tasks and initiatives to ensure alignment with
business objectives.
• Coordinate with the management team and stakeholders to ensure seamless
communication and implementation of CEO’s directives.
Stakeholder Engagement:
• Serve as a liaison between the CEO and key internal/external stakeholders, including
board members, clients, regulators, and partners.
• Draft, edit, and proofread high-level correspondence, communications, and reports.
• Facilitate meetings and events, ensuring a professional and organized environment for
participants.
Administrative Oversight:
• Manage travel arrangements, including itineraries, accommodations, and expense
reconciliations.
• Maintain an organized filing system for key documents and records.
• Support the office of the CEO with procurement of office supplies, protocol
arrangements, and logistics.
QHSE (Quality, Health, Safety, and Environment):
• Adhere to all QHSE standards and guidelines to maintain a safe and healthy work
environment.
• Participate in QHSE training sessions and stay updated on best practices for maintaining
a safe workplace ensuring zero-incident and accident rate.
• Actively participate in Unsafe Act/Unsafe Condition (UAUC) reporting.
Other tasks as may be assigned.
Key Performance Indicators (KPIs):
• Calendar Management Efficiency: CEO’s schedule managed with minimal conflicts
and delays; over 95% of appointments and meetings confirmed with proper
documentation.
• Project Support Timeliness: Special projects and tasks assigned to the Executive
Assistant completed on or before deadline at least 90% of the time.
• Communication Management: Internal and external communications handled with
high professionalism, reducing CEO’s email/communication load by 40%.
• Stakeholder Engagement: Positive feedback from stakeholders on responsiveness and
professionalism in engagements.
• Confidentiality and Discretion: Zero breaches of confidentiality or professionalism
reported.
• Travel and Logistics Accuracy: 100% of travel arrangements executed accurately with
no last-minute errors or cancellations.
• Documentation Quality: Reports, meeting minutes, and presentations prepared error
free and submitted on time.
Qualifications
• Bachelor’s degree in Business Administration, Management, or a related field.
• Minimum of 7 years of proven experience supporting C-level executives in a fast-paced,
high-demand environment.
• Experience in the energy, oil and gas, or engineering sector is a plus.
Technical Expertise:
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Knowledge of project management tools – Slack, ClickUp, Zoho etc. and digital
collaboration platforms – Teams, Zoom, etc.
• Travel management.
Skills and Competencies:
• Strong organizational and time management skills, with the ability to manage multiple
priorities effectively.
• Excellent written and verbal communication skills.
• High level of professionalism, discretion, and confidentiality.
• Proactive problem-solving skills with keen attention to detail.
